Accurately tracking and updating job status is crucial for ensuring smooth operations, effective communication, and customer satisfaction. To facilitate this for your business, Sera has added the ability to manually add a job status within your jobs in the Sera Admin Portal! Job status refers to the real-time progress of a service request, or install job — from initial assignment to completion. By leveraging job status updates, your business can better manage resources, monitor technician performance, and respond to customer inquiries with precision.
Enabling Job Status
To enable the Job Status feature in your Sera Admin Portal, navigate to Company --> Settings. Select the toggle next to Job Status in the Feature Settings box. Don't forgot to select the Save button within that same box. Job Status will now be available on all of your jobs!
Enabling the feature ensures that you can add and update the Job Status on any job, you can view the Job Status on any report, and you will have access to send those Job Statuses through Zapier triggers. Please see the end of the article for details on a new Zapier trigger specifically for Job Status!
Job Statuses
Sera has created 7 Job Statuses to account for the different states of a potential job. General guidance is found below but feel free to use these statuses according to your business and company process.
Pending - the job has not yet been started
In Progress - the job is currently being worked by a member of your staff
On Hold - the job is waiting to move forward to completion (this could be for parts that are on order, for the remaining work to be done by an external contractor team, etc.)
Done - Pending Payment - the work is done by your staff but payment has not been received by your company
Done - Closed - the work is completed by your staff and full payment has been received
Cancelled - Closed - the job will not be completed by a member of your staff
Unknown - This is a status used by Sera for jobs that were opened prior to the release of Job Status. You can update that however you see fit.
Adding/Editing Job Status on a Job
There are two ways to add a Job Status in Sera - when you are creating a job for your customer or from an existing job header.
Job Creation
Select from the options in the dropdown to create the job in that status according to your business and company process.
Job Header
Select from the options in the dropdown to update the existing job to that status according to your business and company process. The update to Job Status will be auto-saved upon change.
Reporting
For proper tracking and visibility, Job Status has been added to several reports in the system, such as the Appointments Report and the Jobs report found under Dispatch.
Note: You will see Job Status of Unknown for any jobs that were already existing in the system prior to the Job Status release. This is designed so you can easily differentiate those from other job statuses used in the normal completion of a job.
Zapier Updates
We have updated our existing Zapier triggers to include Job Status. We have also created a new Zapier trigger for the change of a Job Status. The following fields are available in this new trigger:
