Sera's Time Clock feature allows admins and technicians to clock into the software and account for time.
Enabling Timesheets
To enable the Timesheets feature, navigate to Company Settings. Change the toggle from off to on. Click Save.
Now that the feature is enabled, Admins and Technicians can begin clocking in and out. Super users will also be able to view specific time-related reports.
Enable Daily Overtime
Users can enable daily overtime if their state labor laws require tracking daily overtime. Users can turn the toggle to On and specify how many hours count towards Daily Overtime. Users can also enable Double Daily Overtime, if necessary. Our Payroll report adjusts automatically to account for your company settings.
Admin Clock In / Out
Admins can clock in and out by selecting their name on the top right of the Sera Admin Portal. A red clock indicates that the user is clocked out, and a green clock indicates that the user is clocked in.
Admin users can see their individual time card punches by selecting their name on the top right of the Admin Portal, selecting User Profile, and then selecting Time Cards.
Technician Clock In / Out
Once the Time Clock functionality has been enabled, Technicians using iPads can clock in and out. By selecting their name on the top right of the tech app, a user can choose to clock in.
Under the Hamburger Menu, Technicians can select My Profile and Time Cards to view all Clock Ins and Outs.
How do I know if a technician is clocked in?
To view whether or not a technician is clocked in, an icon will appear on the dispatch board next to the name of your technician.
If a technician is not clocked in, their icon on the dispatch board will appear as a red clock, as shown below.
If a technician is clocked in, their icon on the dispatch board will appear as a green clock, as shown below.
Super users can clock in on an employee's behalf if required. Navigate to Company --> Timesheets and click +Create New. Select the appropriate technician, choose their clock in time, and select save. That technician will now appear clocked in on your dispatch board and their icon will appear green.
How can my Crew Members clock in?
Because crew members do not interact with the Sera platform, they are unable to clock in on their own. Their time can be tracked manually by Super users. A Super user can +Create New to add a new Time Card, select the Crew Member, and track the appropriate data.
Time Clock Reporting
A new tab appears for Super users on the lefthand side of the Sera Admin Portal under Company: Timesheets.
Selecting Timesheets will produce a Timesheets report. The Timesheets report shows all employee's total time clocked in over a selected period. The system default is to show the current week's timesheet, but users can change the date shown by selecting a new date. This report can be exported by selecting Download. Users can toggle between Active Time Cards and All Time Cards, if necessary.
Additionally, users can use the +Create New button to add a new timesheet in instances where users forgot to clock in and out for the day. Select the employee, select the start time, end time, and date, and save the changes to add the time card.
How do I edit my employee's time?
Super users can edit employee's time. They can do so by navigating to the Timesheets section under Company Settings. Using the three-dot action menu on the right-hand side of this report, a Super user can adjust a time card for an employee. They can also view notes and archive the action if required.
Payroll Report
Under the Timesheets section, navigate to the Payroll report. Here, users can view the aggregate of every clock in and out over a certain period. Users can download this report and use this information with a payroll system to help pay employees.
Payroll Report (Daily Overtime + Double Time)
If users have Daily Overtime or Daily Double Time enabled, their payroll report will include additional information to reflect the overtime and double overtime rules set under Company --> Settings. Users can use this information with a payroll system to help pay employees.
