In Sera, a user can adjust the Arrival Window Duration for scheduling appointments. The changes are reflected everywhere in scheduling and all messaging to customers.
Setting Up a Custom Arrival Window
To set up a custom arrival window, navigate to Company ---> Settings.
By default, the system will always set the Arrival Window Duration to 1 Hour. If a company needs to change the Arrival Window Duration, they can do so by selecting the dropdown.
Currently, users can choose between
1 Hour
2 Hours
3 Hours
4 Hours
5 Hours
6 Hours
7 Hours
8 Hours
9 Hours
10 Hours
Changing the Appointment Window Duration changes all documentation inside Sera and any communication to the customer.
For example, if a user changed their Appointment Window Duration to 4 Hours when scheduling a job, the duration windows will appear:
Furthermore, the customer receives an email and text message with the updated arrival windows.
Note: Clients may want to double-check their Time Slot Disclaimer field when setting up Custom Arrival Windows. Some Clients may already have information in there regarding their Custom Arrival Windows.
The appointment will appear on the dispatch board at the start of the appointment time and the appointment duration will still reflect the time allocated in their Services settings.
Additionally, changes have been made in the following places to reflect the updated Custom Arrival window:
- Appointment List Report
- Admin Scheduling Forms
- Customer Hub/ Customer Portal
- Appointment Widget Changes
- Tech App Changes
Finally, Sera will continue to pass the "Scheduled For" field in our Zapier trigger so any existing automation will not break. We have added an Arrival Window Start and Arrival Window End fields to the trigger(s) to allow for automation with these fields
