Sera is integrated with Zapier providing the ability to connect Sera to over 5000+ apps to help streamline your workflow.
Zapier basics
Zapier's web interface creates commands called zaps. Each zap is composed of two main parts: a trigger and an action. A trigger is where the automation starts. You can think of this as the "if this happens..." part of the zap. The action is the performance result of the trigger. You can think of this as the "... then this." part of the zap. Sera and Zapier Integration
Sera currently offers the following six events to be used as triggers in Zapier.
- Appointment Created - triggers when an appointment is created initially either by the customer through the portal, by the technician in the Tech App, or by the Admin staff within the Admin Portal
- Appointment Trip Started - triggers when a technician selects the Start Trip button within the Tech App
- Customer Created - triggers when a customer is created either through the Website Widget embedded in your website, or by a member of your Admin staff within the Admin Portal.
- Invoice Accepted - triggers when an invoice is either accepted by the technician collecting a Work Completed Signature within the Field Worker App, or by a member of the Admin staff manually approving the invoice from the Admin Portal.
- Quote Accepted - triggers when a Quote is marked as Accepted by a technician within the Field Worker App or by a member of your Admin staff in the Admin Portal.
- Quote Denied - triggers when a Quote is marked as Denied by a technician within the Field Worker App or by a member of your Admin staff in the Admin Portal.
Integration Set-up
Note: The Sera integration does not require a paid subscription to Zapier and can be used on the Free plan
Once you have established an account with Zapier, you will need to connect the two software programs together. To do that, you will first login to your Sera account and access the Marketplace section under the Company header in the left-hand menu. Switch the toggle to On and select View & Copy API Key.
In Zapier, select My Apps from the left-hand menu bar, and search for Sera in the search bar located at the top of the screen. Once you have located Sera Systems, select the Connect button. A pop-up window will appear asking for your API key. You will paste the copied API key into that box.
Hint: You will want to copy and paste instead of typing it into that box manually to ensure 100% accuracy since this is critical for the integration to take place.
Creating a Zap with SERA
The integration requires the triggers to begin with Sera Systems. You will create a zap by going to Create Zap in your left-hand menu. Search for Sera Systems in the search box and select your event.
If you have already connected to your Sera account above, you will see a Change button. If you have not already connected to your Sera account, you will see a + Connect button where you can paste your API Key from your Sera Marketplace.
Once you have selected your event aka "if this happens...", you will hit the Continue button which will prompt you to test your trigger. This is not required but does help ensure that you have a working connection to your Sera account.
After testing your trigger, you will select the Action card aka "... then this.". You will search through any of the 5,000+ apps or tools that Zapier offers to connect to your trigger. We will use the example here of sending an email through our gmail account every time a Quote is accepted.
Search for Gmail in the search bar and select to connect your account. Select your event and hit Continue. Follow the prompts and instructions on the screen to fill in fields for who you would like this email sent to, what you would like the subject to say, etc. You can use any of the available fields from the Sera trigger within the fields on this email. This would allow you to incorporate as many quote-related fields as you would like into the subject line, or body of the email to get the most benefit out of this interaction.
Once the desired fields are completed and the email has the data points that you would like, you can hit Test Action to validate the action and troubleshoot any potential errors. You can also skip this test if you are confident in your selections.
The option to publish is next which will allow you to use this zap. This will mark your zap as On and make it visible within your Zaps header in your left-hand menu bar.
